Refund, Cancellation & Missed Appointment Policy
Payment
• Once your appointment is confirmed, payment for the requested service will automatically be requested.
Accepted Payment Methods:
• Credit card
Refund Policy
• Refunds will not be issued for completed services.
• Refund requests related to cancellations are subject to the cancellation policy outlined below.
• Approved refunds, when applicable, may take several business days to process depending on the payment provider.
Late Arrival
• Late arrivals will not be accepted.
• Any patient arriving after their scheduled appointment time will be considered a no-show, and the appointment will automatically be cancelled.
• In case of emergency, please contact our clinic as soon as possible.
Cancellations & Missed Appointments
We highly value the time reserved for your appointment and do our best to offer cancelled appointment times to patients on our waitlist. Last-minute cancellations and missed appointments are often impossible to replace.
• 24 hours’ notice or more: No fee.
(Thank you — this allows us to offer the appointment time to another patient in need.)
• Less than 24 hours’ notice: 25% of the appointment fee will be charged.
(This also applies to same-day bookings that are later cancelled.)
• Less than 12 hours’ notice: 50% of the appointment fee will be charged.
(This also applies to same-day bookings that are later cancelled.)
• No-show appointments: 100% of the appointment fee will be charged.
• Patients are responsible for attending their appointment at the scheduled time.
Exceptions
To ensure a fair and consistent policy for all patients, cancellation fees will only be waived in the following situations:
• A medical emergency requiring immediate treatment
• A death in the family
• A natural disaster
Payment of Fees
Fees related to missed appointments or late cancellations must be paid in cash. A receipt marked “cancellation fee” or “missed appointment” will be issued.
We cannot identify these receipts as a “Mole Mapping Examination,” as this would constitute insurance fraud. Thank you for your understanding and prompt payment.
